How to Write Podcast Show Notes That Listeners Use

Open any podcast app and scroll to the episode description. On most independent shows you will find one vague sentence, a sponsor code and a block of hashtags.

Open any podcast app and scroll to the episode description. On most independent shows you will find one vague sentence, a sponsor code and a block of hashtags. That is a missed chance, because podcast show notes are the only part of an episode that search engines, app search and skimming listeners can actually read.

I write notes for every episode I edit, and the routine takes about 25 minutes once the cut is locked. Below is the structure I use, the length that works on each platform, and the details that turn a description into something people bookmark and share.

What Podcast Show Notes Are Actually For

Notes do three jobs. They help a browsing listener decide to press play, they help a returning listener find the moment they half remember, and they give search engines text to index, since audio alone is still poorly understood by most platforms.

Keep those three readers in mind and every decision becomes easier. The browser needs a hook in the first 150 characters. The returning listener needs timestamps. The search engine needs clear, specific words that match what people type.

The Structure That Works for Most Episodes

A reliable layout has five parts, in this order:

  1. Hook line. One or two sentences on the problem or story the episode covers, written for someone who has never heard of you.
  2. Summary paragraph. Three to five sentences naming the guest, the main points and one surprising detail.
  3. Timestamps. Chapter markers for each segment, roughly every 5 to 10 minutes.
  4. Resources mentioned. Books, tools, studies and earlier episodes, each named plainly.
  5. Credits and calls to action. Host, guest, editor, music, plus one clear next step such as subscribing or joining a newsletter.

Put the sponsor message after the summary, never before it. Apple Podcasts and Spotify truncate descriptions in list views, and a promo code in the first line tells a new listener nothing about the episode.

Writing a Hook and Summary People Read

Write the hook last, after you have heard the final edit. The best line is usually something the guest said around the middle of the episode, when they stopped being polite and started being specific.

Compare two openings. "This week we chat with Dana about audio" gives nothing away. "Dana recorded her first 40 episodes in a closet lined with winter coats, and her noise floor beat most studios" makes a listener curious and contains words people search for.

A useful test is to read the hook aloud to someone who does not listen to your show. If they cannot tell you what the episode is about in one sentence, rewrite it. Specific nouns help more than adjectives: a city, a piece of gear, a dollar figure or a named method gives the reader something concrete to latch onto, and it gives app search a term to match. Words like "amazing" or "inspiring" do neither.

Keep the summary under 120 words. Name the guest's full name and role once, mention the two or three topics in plain language, and avoid inside jokes that only regular listeners will catch.

Timestamps and Chapter Markers

Timestamps are the single most useful thing you can add. Write them in the format 00:00, 04:12, 17:45, each followed by a short label of four to eight words. YouTube turns them into clickable chapters automatically when the first one is 00:00 and there are at least three, each at least 10 seconds long.

For audio platforms, embed chapters in the file itself. Most hosts, including Buzzsprout, Captivate and Transistor, let you add chapter markers that appear in Apple Podcasts and Pocket Casts. Do this after mastering, since any edit that shifts the timeline will throw every marker off. If you are still adjusting levels, finish against the podcast loudness targets first, then mark chapters on the final file.

Show Notes Length by Platform

Each platform shows a different amount before the "more" cut, so plan your opening around the shortest one.

PlatformVisible before truncationPractical full length
Apple Podcasts list viewAbout 150 charactersUp to 4,000 characters
Spotify episode pageAbout 200 charactersUp to 4,000 characters
YouTube descriptionAbout 150 charactersUp to 5,000 characters
Your own websiteFull text500 to 1,500 words

The website version is where longer episode notes pay off. Add a short written recap of each segment, pull quotes and a full resource list. Those pages often rank for guest names and specific topics long after the episode itself stops appearing in new release lists.

Turning a Transcript Into Better Episode Notes

If you already generate a transcript for captions, you have most of the raw material. Search it for proper nouns, numbers and book titles, and you will have a resource list in five minutes.

Next, skim for the three moments where the conversation sped up or the guest told a story. Those become your timestamp labels and often your hook. Avoid pasting the full machine transcript as your notes, since filler words and misheard names make it hard to read. Clean speaker labels and a corrected transcript can live on a separate page for accessibility. Guest audio quality affects transcript accuracy too, which is one more reason to follow a solid routine for recording a remote podcast guest.

A Quick Checklist Before You Publish

  • Hook fits in the first 150 characters and names the topic.
  • Guest name is spelled exactly as they spell it, and their role is clear.
  • Timestamps start at 00:00 and match the final mastered file.
  • Every resource is named so a listener could find it by searching.
  • Sponsor text sits below the summary.
  • Credits list the editor and music source.
  • No more than one call to action at the end.

Run through the list once more after the episode goes live, because some hosts strip line breaks or reorder text when they push the feed to Spotify and Apple. A two minute check on your phone catches most formatting problems before many listeners see them.

Save this structure as a template in your hosting dashboard or a text file, and fill it in while the episode exports. More workflow guides live in our podcasting section.

Frequently Asked Questions

How long should podcast show notes be?

Aim for 150 to 300 words in the podcast app description and 500 to 1,500 words on your website episode page. The app version should be scannable, while the website version can include segment recaps and a full resource list.

Do show notes help a podcast get found?

Yes, because podcast apps and search engines index the written description far more reliably than the audio. Specific names, topics and questions in your notes give people something to match when they search.

Include links to resources, guests and earlier episodes, but keep them in a dedicated list below the summary. Many apps display links poorly, so name each resource clearly in case the link does not render.

The Takeaway

Treat notes as part of the edit, not an afterthought. A strong hook, accurate timestamps and a clear resource list take about 25 minutes, and they keep working for every new listener who finds the episode months later.
